Terms & Conditions

 

Eligibility
Art students in grades 7-12 in Lake and Geauga Counties are eligible to enter this show through their art 
teacher only.  Artwork is divided into two judging groups:  Grades 7-9 and Grades 10-12 (as re-established 
by the LGCSAA committee in November 1991).

All art teachers who wish to have their students participate in this show must help by volunteering at least 
six (6) to eight (8) hours with the show committee.  Student work will be rejected from the show if we do 
not have a commitment of the individual teacher’s time.  Reminder: before your entry forms and inventory 
can be sentuploaded to the Artcall site, we must have your commitment preference.

Originality
Students: All artworks must be original. Please read the entire entry form. Do not submit any work that is 
a direct copy of another artwork, magazine, newspaper, book, or published photograph.  A copied work that 
only alters technique but not composition will be rejected.  Any photo references used in the creation of the 
work must be photocopied and attached to the back of the artwork.  Work from photo references must 
involve artistic interpretation by the student.  Students using published photos in their artwork, but who 
have not included a photocopy of the source, will automatically have their artwork rejected.  Pieces found 
to be copies after the start of the show will be removed with a vote of the committee.  Work will be 
screened during judging day.  All decisions of the committee are final.

Safety, Mounting &Matting
Flat work, including canvas board, must be matted.  Mats should not exceed four (4) inches of border on 
any side.  Matted work must be backed with at least an oaktag thickness for the protection of the artwork.  
For further safety, please secure backing on all four sides.  NO broken glass, sharps, or any hazardous 
material as part of any artwork is permitted. NO GLASS FRAMES are permitted, however, stretched 
canvas may be “finished” with wood trim or must be painted on all sides. Canvas, particle board, 
masonite, stained glass and fiber art must be ready to hang or pieces may be rejected from the 
judging. Acetate is recommended for pastels and charcoal work.

Size Limitations
Artworks should not exceed 48 inches, including the mat.  Because of limited showcase 
space, 3D pieces may be displayed on open-air pedestals.

Quantity Limitations
Teachers are limited to 25 entries each, even if you work with more than one grade level and in more than 
one school building 7-12.  No exceptions.  Students are limited to 3 pieces. No exceptions. Please check with other art teachers in your district to make sure that no student has more than 3 entries. If students are entering multiple works through multiple teachers/grade levels, please coordinate forms, entry numbers and mark entries with the grade level of the student at the time the piece was created.

Awards
Prizes will be awarded to individual pieces.  Any piece that has been accepted into the show, receives the award of Honorable Mention. Gold Seal, Blue Ribbon, Cash, and Scholarship awards are also given at the discretion of the judges.

Inventory Sheets and Digital Images
All computerized data, including student nametags, award certificates, and Powerpoint presentation, are copied directly from your digital teacher inventory lists; any spelling errors are your own and not those of the database on the computer. Please type clearly and check for correct spelling of your students’ names. Jpeg images must be turned into the LGCSAA digital submission portal through  no later than 9pm on January 9, 2014.

All artwork must be photographed and submitted through the Artcall by the teacher for record, poster/program images and for the final PowerPoint presentation.  Photos should be taken without a flash and show the best representation of the work.  Please crop out everything but the image.  If you are unsure of working a digital camera, please ask your building technology specialist for help. 

Here are the three most important things to remember: 
The images must be in JPEG format and the file name MUST include title.student last name. teacher name.school jpeg
(example:rubberband.smith.malkus.kenston.jpeg)

Each image file must be 3 MB or smaller in size.
 
Each image should have a resolution of 72ppi

Maximum file size: 3.0 MB per image

Note: The image sizes above are recommendations. Your students' image sizes may be different. 

Consent for display of artwork forms
Consent for display of artwork forms MUST be signed by the student and include parent signature if student is under 18 or work cannot be displayed in show. TEACHERS MUST BRING COMPLETED FORMS TO DROP-OFF OF ACCEPTED WORKS. NO EXCEPTIONS.

Entry Fees
Each entry is to be accompanied by a minimum $3.00 donation.  Please make checks payable to: Lake & 
Geauga Counties Secondary Art Awards (LGCSAA).  Teachers, please bring one check for all of your 
entries ( accepted and rejected works). Entry fees are due on the day your accepted artwork is checked-in.

Check-In & Pick-Up Procedures
To expedite the check-in process, an ART INSTUCTOR, rather than a school courier must deliver all accepted 
entries.  Instructors should have their:

  • Accepted Artwork IN ORDER per category
  • Completed Consent Form
  • Check for entry fees

College.  Please park in the metered parking area. Friday, January 10 is our “safety net” if schools are 
closed on Wednesday and/or Thursday. Drop-off will be between 3-5 p.m. on Friday if we have a calamity 
day.
Storage for rejected work is NOT available. Once a piece makes the exhibit, it must remain at Lakeland until the completion of the show and awards ceremony.  If a student needs a piece for his/her portfolio during this time, he/she should 
NOT enter the artwork in this competition.
